Refund & Cancellation Policy

At NIKOS KOLIDAS, we are committed to providing professional accounting, tax, advisory, and business support services with transparency and professionalism. This Refund & Cancellation Policy explains when fees may be refunded, when cancellations are accepted, and how payments are treated once work has commenced.

By purchasing, booking, or otherwise engaging our services through this website, by email, or by any other remote means, you agree to this Refund & Cancellation Policy, together with our Terms and Conditions and any separate engagement letter or service agreement.

1. Scope

This Policy applies to professional services offered by NIKOS KOLIDAS, including but not limited to:

  • accounting services,

  • tax advisory and tax compliance services,

  • company formation and corporate support services,

  • payroll and social security support,

  • VAT/OSS and cross-border compliance services,

  • consultations, strategy sessions, and advisory meetings,

  • document preparation and administrative support services.

This Policy does not apply to services provided under a separate written agreement that expressly sets different payment, cancellation, or refund terms. In such case, the signed agreement shall prevail.

2. Nature of Professional Services

Our services are professional and often time-sensitive, customised, and prepared specifically for the client’s circumstances. In many cases, work begins shortly after engagement, including internal review, legal/tax analysis, document drafting, compliance checks, communication with authorities, and allocation of staff time.

For that reason, refunds are not automatically available once work has started.

3. Booking Fees, Consultation Fees, and Advance Payments

Where applicable, consultation fees, booking fees, retainers, and advance payments are charged in order to reserve time, allocate resources, and begin preparation.

Unless otherwise stated in writing:

  • consultation fees are generally non-refundable once the appointment has taken place;

  • booking fees are generally non-refundable if a cancellation is made too close to the scheduled appointment time;

  • advance payments for customised professional services may be applied against work already performed and administrative costs incurred.

4. Consumer Right of Withdrawal for Distance Contracts

Where a client qualifies as a consumer under applicable law and purchases services remotely (for example, online, by email, or by phone), that client may have a statutory right to withdraw from the contract within the legally prescribed period.

However, where the client has expressly requested that performance begin before the end of the withdrawal period:

  • the client may be required to pay a proportionate amount for services already performed up to the date of withdrawal; and

  • if the service has been fully performed after the client’s prior express consent and acknowledgement that the right of withdrawal is lost upon full performance, no refund will be due to the extent permitted by law.

Nothing in this Policy limits any mandatory consumer rights that apply under applicable law.

5. Cancellations Before Work Begins

A client may request cancellation before we begin substantive work on the matter.

If no substantive work has begun, we may, at our discretion:

  • issue a full refund, or

  • retain an administrative fee if booking, payment processing, onboarding, or file-opening actions have already been completed.

For the avoidance of doubt, the following may be treated as commencement of work:

  • file opening and conflict checks,

  • review of client documents and background information,

  • internal tax or accounting assessment,

  • preparation of drafts, forms, letters, or calculations,

  • communication with public authorities, banks, or third parties on the client’s behalf,

  • reservation of dedicated staff time for urgent or fixed-deadline matters.

6. Cancellations After Work Has Begun

If a client cancels after work has started, any refund shall be limited and assessed on a case-by-case basis.

In such case, we reserve the right to retain fees corresponding to:

  • work already performed,

  • time already spent by our team,

  • administrative and onboarding costs,

  • third-party costs or government-related charges already incurred,

  • urgent scheduling or priority handling already allocated to the matter.

Where the value of work already performed equals or exceeds the amount paid, no refund will be due.

7. Completed Services

Once a service has been fully delivered or substantially completed, no refund will ordinarily be provided.

This includes, without limitation:

  • completed consultations,

  • completed tax or accounting opinions,

  • completed filings or submissions,

  • completed company incorporation steps,

  • completed document preparation,

  • completed payroll processing cycles,

  • completed compliance reviews,

  • completed registrations, notifications, or applications.

8. Client Delay, Non-Cooperation, or Failure to Provide Information

Refunds will generally not be granted where delays, inability to complete the service, or additional costs arise because the client:

  • failed to provide accurate or complete information,

  • failed to submit requested documents on time,

  • failed to attend scheduled meetings,

  • failed to respond within a reasonable period,

  • changed instructions materially after work had already commenced.

In such cases, fees for time already spent and work already performed remain payable.

9. Rescheduling of Appointments

If the service involves a booked consultation or meeting, clients may request rescheduling by giving prior notice to [insert notice period, e.g. 24 or 48 hours].

Where sufficient notice is given, we may offer one rescheduling without additional charge, subject to availability.

If notice is not given within the required period, we reserve the right to treat the appointment as completed or to charge a missed appointment fee.

10. No Refund for External Charges

Unless otherwise agreed in writing, refunds do not include:

  • government fees,

  • filing fees,

  • registry fees,

  • translation or certification costs,

  • notarial costs,

  • courier costs,

  • banking or transfer charges,

  • fees of third-party advisers or external partners,
    where such costs have already been incurred or become non-recoverable.

11. Method of Refund

Any approved refund will normally be made using the original payment method, unless otherwise agreed or unless this is not technically possible.

Approved refunds are usually processed within 14 days from the date on which the refund request is accepted, subject to banking and payment provider processing times.

12. How to Request a Cancellation or Refund

  • your full name or company name,

  • invoice or payment reference,

  • date of purchase or booking,

  • description of the service,

  • reason for the request,

  • any supporting documents or correspondence.

13. Business Clients

Where services are provided to companies, professionals, or other business clients, refunds and cancellations are governed primarily by the relevant engagement terms, quotation, invoice terms, or separate service agreement.

Unless otherwise agreed in writing, fees for work already performed, time already allocated, and costs already incurred remain payable and are generally non-refundable.

14. Exceptional Refunds

Any refund granted outside the terms of this Policy shall be made strictly at our discretion and shall not constitute a precedent or waiver of our rights in future cases.

15. Changes to This Policy

We reserve the right to amend this Refund & Cancellation Policy at any time in order to reflect changes in our services, internal procedures, or applicable legal requirements. The most current version will always be published on this website.
